Covid-19 Precautions

Attendee assumes all risks and accepts sole responsibility for any injury (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that attendee may experience or incur in connection with attending the convention. Attendee hereby releases, covenants not to sue, discharges, and holds harmless CASP, its employees, agents, and representatives, of and from any such claims, including all liabilities, claims, actions, damages, costs, or expenses of any kind arising out of or relating thereto. Specifically relating to the global COVID-19 pandemic, attendee acknowledges the highly contagious nature of COVID-19 and voluntarily assumes the risk of exposure or infection by attending the convention, and that such exposure or infection may result in personal injury, illness, disability, and/or death to attendee. Attendee understands that the risk of becoming exposed to or infected by COVID-19 at the convention may result from the actions, omissions, or negligence of others who may attend the event or their families, colleagues, or others with whom they may have contact. Accordingly, attendee understands and agrees that this release includes any claims based on the actions, omissions, or negligence of CASP, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in the convention. In addition to all other rules and regulations relating to the attendee’s attendance at the convention, attendee agrees to comply with all COVID-related procedures that may be implemented by CASP and the host hotel, including, but not limited to, mask-wearing and social distancing requirements and restrictions on certain activities that carry higher COVID-related risk, in order to protect as much as possible the health and safety of all convention attendees. Noncompliant attendees may be removed from the convention at CASP’s discretion. Refunds will not be issued for attendees removed from the event due to refusal to comply with Covid-related procedures.

Refund Policy

Proposed Cancellation Policies

Rationale: CASP wants to provide as many opportunities as possible for membership and volunteers. At the same time we want to ensure that we are being fiscally responsible with member funds. In the past there have been situations where CASP has paid for meals, rooms, etc…for attendees who did not show or cancel for the event. Although we understand there may be unforeseen circumstances some of these would have been preventable with a cancellation. Responsible financial management will lead to further member benefits.

This also applies to events – especially conventions and conferences. As we approach under 30 days we are locked in to providing final counts for meals, room nights etc.. with advance notice we can get a more accurate count to ensure financial responsibility and potentially shift funds to other areas.

We will also consider cancellations on a case by case basis due to unforeseen circumstances such as illness etc…

Non-paid events
CASP appreciates the time and dedication of our volunteers and strives to offer events without charge whenever possible. We also have a financial responsibility to the members to ensure that we utilize CASP funds effectively and have policies to support late cancellations for events where CASP could potentially lose money unnecessarily.

For events without a registration fee, cancellations must be received within seven days of the event. If a cancellation is received fewer than 7 days before the event, or if an attendee no shows to the event, a cancellation fee of $75 per day may be charged to cover non-refundable event expenses, like meals and materials.

Attendees who reserve hotel rooms and fail to cancel their reservations will be responsible for cancellation fees per the hotel’s policy. CASP will not cancel hotel room reservations for attendees.

Paid events
CASP strives to ensure fiscal responsibility for the organization and its members. Due to the cost of events, speakers, materials, meals etc…there are time frames where we are unable to cancel services. Cancellation fees will be considered on a case-by-case basis with unforeseen circumstance beyond the attendees control.

Cancellation fees for events will be as follows:

Refund Amount
Timing
100% Refund
30 days prior to an event
50% refund
15-29 days prior to the event
25% refund
8 days prior to the event
No refund
7 days prior to the event

All refund requests must be made in writing and postmarked or emailed at least one week before the event. All refund requests will be subject to a $30 handling fee, per attendee. Written requests must be mailed to:

CASP
3841 N. Freeway Blvd., Suite 100
Sacramento, CA 95834

Or emailed to: kathyl@casponline.org. No refunds will be issued for any reason for participant cancellations once the event has started, nor will they be issued for attendees removed from the convention due to refusal to comply with Covid-related procedures. All refunds to school districts must be requested by the school district – not the individual attendee whose fees were paid by the district. Refunds for registrations purchased with a credit card fee will include ticket price only, not credit card processing fees charged by our third-party registration system.

Webinar Refund Policy

Once purchased, no refunds will be issued except in cases where CASP finds it necessary to cancel the webinar. Any webinar cancelled by CASP will result in a full refund within 30 days.

Consent to Photograph and Use Images

It is understood that CASP has permission to take and use images of the exhibit hall/exhibit booth/exhibitors/attendee breakout sessions/attendees’ likeness in photographs, video recordings or electronic images in all of its publications, including website entries, without payment or any other consideration. These materials will become the property of the organization and may be edited, altered, copied, exhibited, published, or distributed for purposes of publicizing the organization’s programs or for any other lawful purpose. No inspection or approval of the finished product, including written or electronic copy, will take place.

Grievance Policy

Grievances or complaints regarding workshops will be considered on a case-by-case basis by CASP staff, available at the convention services desk. In the event a workshop is canceled, attendees will be able to participate in an alternate workshop; only if there is no other concurrent workshop with space available, will a partial refund of 40% of the daily ticket price be issued.

Grievances may be submitted via email to kathyl@casponline.org.
